Resume PDF Format — What to Know Before You Export
Sending a PDF sounds simple. But the wrong kind of PDF gets rejected by ATS, looks broken on a recruiter's screen, or fails to upload on Naukri and LinkedIn. Here is what to check before you hit send.
6 PDF resume mistakes that get you rejected
Most candidates send their resume without checking whether the PDF is actually ATS-readable. These are the most common mistakes — and how to fix each one.
Scanned image PDF
Why it hurts: ATS cannot extract text from images. Your resume is invisible to the parser.
Fix: Rebuild your resume in a word processor or resume builder and export as a proper PDF.
Non-embedded fonts
Why it hurts: Fonts substitute on recruiter's screen, breaking layout and spacing.
Fix: When exporting to PDF, ensure 'embed fonts' is checked. Rezup handles this automatically.
Multi-column layout in PDF
Why it hurts: ATS reads PDFs left-to-right. Two columns get their text merged in the wrong order.
Fix: Use single-column templates only. All Rezup templates are single-column.
Text inside tables or text boxes
Why it hurts: ATS parsers skip content inside HTML tables and text boxes in PDFs.
Fix: Use plain paragraph text with line breaks. Avoid table-based resume layouts.
PDF with password protection
Why it hurts: ATS software cannot open password-protected PDFs and will reject or skip them.
Fix: Never password-protect your resume. There is no sensitive information that requires protection.
File size above 2 MB
Why it hurts: Some portals (company career sites, Naukri) reject large files or slow uploads fail.
Fix: Remove embedded images, compress the PDF, or use a builder that outputs optimised files.
Resume PDF checklist before you apply

- No password protection
- Single-column layout — no tables or text boxes
- Fonts are standard (Calibri, Arial, Georgia) or embedded

Frequently asked questions
Should I send my resume as PDF or Word (DOCX)?
PDF is the default for India. Send PDF unless the job posting specifically requests Word format. PDF preserves your formatting exactly across all devices. Word files can look different on different versions of Microsoft Office, and some companies' email clients corrupt DOCX attachments.
Can ATS software read PDF resumes?
Yes, modern ATS software can read PDFs — but only if the PDF is text-based (not a scanned image). If you saved your resume from Word, Google Docs, or a resume builder like Rezup, the PDF is text-based and ATS-readable. If you photographed or scanned a printed resume, the PDF is image-based and ATS cannot parse it.
Why does my resume PDF look different on the recruiter's screen?
This happens when your PDF uses fonts that are not embedded in the file. If the recruiter's computer doesn't have that font installed, their PDF viewer substitutes a different font, which changes spacing and layout. Fix this by ensuring fonts are embedded when you export to PDF, or use a resume builder that handles this automatically.
What is the correct file size for a resume PDF?
Under 1 MB is the target. Most well-formatted text resumes are 100–300 KB. If your PDF is above 2 MB, it usually means you have embedded large images or an unoptimised graphic. Some company portals (Naukri, LinkedIn) have file size limits of 2–5 MB, but smaller is always better for email attachments.
What should I name my resume PDF file?
Use this format: FirstName-LastName-Resume.pdf. Example: Priya-Sharma-Resume.pdf. Avoid spaces (use hyphens), avoid generic names like 'Resume.pdf' or 'CV_final_v3.pdf'. If applying to a specific role, you can add it: Priya-Sharma-SDE2-Resume.pdf.
